Privacy Policy

Lead Mule is a software platform that helps owner-operator contractors capture, respond to, and follow up with leads. We operate at leadmule.ai. This policy explains what data we handle for contractors who sign up as customers ("Users") and for the leads they communicate with through Lead Mule ("Recipients").

From Users (contractors) at sign-up and during use:

• Email address, name, business name, business phone.
• Billing details, handled by Stripe — we don't store full card numbers ourselves.
• Optional inbox connections (Gmail, Outlook, IMAP) used only to scan for new lead emails. We never read non-lead mail.
• The Lead Mule phone number we assign and any messages relayed through it.

From Recipients (the contractor's leads):

• Phone number, name, and any address the customer provided.
• Email address if the customer reached the contractor by email.
• Content of voicemails, SMS messages, or emails the customer sent to the contractor.
• Browser-level geolocation IF the customer accepts the browser prompt (used only inside Lead Mule for an optional "distance to lead" tag).

• Deliver the service: route calls, transcribe voicemails, send replies, share bid links, log conversations.
• Charge subscription billing through Stripe.
• Send transactional emails about your account (sign-in links, billing notices, product updates).
• Debug, prevent abuse, and improve the platform. We never read message content for marketing or training purposes.

We do not sell, rent, or share contact information for marketing purposes — not to third parties, not to other Lead Mule users, not to advertisers. We do not import purchased contact lists. We do not use recipient phone numbers or emails for any purpose outside the contractor's own communication with that recipient.

When a Recipient contacts a contractor's business — for example, by calling and leaving a voicemail — and provides their mobile number, Lead Mule may send an automatic text reply and related follow-ups from the contractor, on that contractor's behalf. Recipients can reply STOP at any time to opt out, or HELP for help. Message frequency varies by conversation; message and data rates may apply.

We do not share, sell, or otherwise provide your mobile phone number or messaging consent information to any third parties or affiliates for marketing or promotional purposes. Text-messaging originator opt-in and consent are never sold, rented, or shared. The only providers that handle this data are the subprocessors required to deliver the message (for example, Twilio), and they are not permitted to use it for their own marketing.

We use a small, specific set of service providers to run Lead Mule. Each one only sees the data they need:

• Supabase — database and authentication.
• Vercel — hosting and serverless functions.
• Twilio — phone number provisioning, SMS, and voicemail recording.
• OpenAI — voicemail transcription and lead-email classification. We send only the content of the message being processed; no contact info.
• Stripe — subscription billing.
• Resend — transactional email delivery (sign-in links, billing notices).

We do not allow any of these providers to use Lead Mule data for their own marketing or model training.

User account data is kept for as long as your account is active and for up to 12 months after cancellation to support reactivation and billing dispute windows. You can request earlier deletion any time (see "Your rights" below).

Lead and message data is kept on the contractor's account. If the contractor deletes a lead or cancels their account, we delete the corresponding records.

You can ask us to export, correct, or delete data associated with your account at any time. Email us at stephanie@leadmule.ai and we'll respond within 7 business days.

If you are a Recipient (not a contractor user) and want your information removed from a specific contractor's Lead Mule account, reply STOP to any SMS to opt out of future messages, and email us if you want the lead record itself removed.

Lead Mule is built for businesses and is not directed at anyone under 18. We don't knowingly collect data from minors.

If we make material changes, we'll update the "Last updated" date at the top of this page and notify active Users by email at least 7 days before the change takes effect.
